Asset data and documentation

Who should own changes to asset data?

Assign a named role to govern the rules for asset data and a clear process for the people who create, review and approve changes.

What to consider

The owner does not have to enter every record. Operations, maintenance, engineering and the CMMS team may each contribute information, but they need to know who approves identifiers, hierarchy changes, equipment status and supporting documents. Connect the process to approved site change and work management practices.

Practical steps

A practical example

A technician reports that a pump has been replaced and its nameplate differs from the CMMS. The technician submits the evidence; the assigned asset data owner checks the equipment identity and supporting documents before approving a change. The record shows who made the update and when. Operations and maintenance can then use the revised information without allowing uncontrolled edits to critical fields.
